Administrative/Documentation Clerk

Position Summary
Performs receptionist, clerical, and administrative support functions; ensuring complete customer satisfaction, by performing the following duties. In addition, is r esponsible to prepare, revise, and maintain Central's non-technical documentation and update Central's technical documentation.
Key Position Responsibilities
- Answers incoming telephone calls on a switchboard, conveys messages, directs or transfers calls, and takes messages in a professional manner.
- Greets visitors, including customers, vendors, and applicants; assigns visitors' passes, and maintains an accurate log of authorized visitors.
- Coordinates scheduling of conference rooms, and other interview and meeting locations, as necessary.
- Writes, types, or enters information into computer to prepare correspondence or complete other paperwork, and performs other data entry functions.
- Files paperwork and maintains files in accordance with established standards by archiving older files, to keep file cabinets current, as well as neat and orderly; m aintains archived storage system; responds to requests to store and retrieve archived items and updates archived items log.
- Assists in maintaining Central's Documentation Control System; reviews documents to ensure completeness and accuracy prior to final acceptance; ensures necessary approvals are in place for specified documents; files and maintains controlled documentation.
- Makes changes to existing documents as indicated by authorized managers and others.
- Maintains document control integrity with document content, history, and approval routing.
- Supports efforts to ensure requested documentation and reports are provided to customers in a timely manner.
- Maintains Express Mail log database for tracking number details and costs, and reconciles balances monthly.
- Fills customers' requests for product catalogues, as entered by Sales Department members.
- Keeps track of office supplies usage by department, and maintains office supplies budget.
- Performs special projects as assigned by the Accounting Manager.

Provides support for and assists with various accounts payable, budgeting, accounts receivable, and credit processes when necessary. Tasks include, but are not limited to:
- Matching invoices and packing slips
- Coding invoices
- Entering invoices batches
- Preparing check runs for signature
- Making collection calls
- Assisting in the customer credit approval process
- Enter purchase order requisitions and maintains database for external engineering documents.
- Makes improvement recommendations to Central's documentation process
Position requirements Required

More than two years administrative/clerical experience in an office; two years of college, secretarial or business school; experience answering incoming phone lines, and experience with ISO9001:2000 are all preferred.
Computer Skills

Proficiency in Microsoft Word, Outlook, Excel, and Windows NT are required and working knowledge of AS/400 is preferred.
